The realisation of a sporting event goes through different phases that will help us organise ourselves correctly, and be sure to have the entire process under control and not to forget any details.
So, by following an order and taking into account everything that is necessary in each phase, this can contribute to facilitating the work of the technicians, improving time management, the creation of documentation, etc. and, enabling the event to comply with all the safety regulations and measures provided for.
With this objective in mind, we propose a phased organisation model for the actions and actors who must carry them out, associated with the necessary documentation at each step of the process of organising a sporting event
The process of organising a sporting event
The initial or design phase is the conception of the idea or first contact with the project. The aim is to confirm the viability of the project and agree on the most important organisational aspects. It is a fundamental step, given that it will make it possible to decide if progress is made in the development of the project, its scope, the participating actors and the possibilities of organising it successfully.

The planning phase is what builds the pillars of the sporting event on the foundations defined in the first phase.
The objectives to be achieved are to identify the tasks to be developed and to organise the human team to achieve them, making a list of the necessary material, technological and human resources, scheduling the actions to be executed and calculating the necessary budget.
It consists of five areas of work:
- Organisation into areas
- Task analysis
- List of resources
- Timing
- Budget

It is the period of organisation of the event in which the proposals agreed upon in the planning stage are executed. This is an action phase in which what has been worked on in the previous phases is implemented.
All this work is done under a common umbrella based on:
- control
- renewal and
- maintenance of quality.

It's time for fieldwork. The office is left in order to move to the place where the event takes place (natural or urban space, sports facilities).
It is important to maintain the level of quality and make quick, cold and deliberate decisions.

It is the time to dismantle the entire organisational, economic and material structure, and report the results from different perspectives (sporting, communicative, economic, social, etc.).
This phase must also have been properly planned, as there are often few human resources available, limited time and above all significant physical and emotional wear and tear.
